Full-time Administrative Coordinator

Based in Minneapolis, MN

 

Minneapolis Federation of Teachers, Local 59 (MFT) is a union of teachers, other licensed staff and Educational Support Professionals (ESP) working in Minneapolis Public Schools. MFT is affiliated with Education Minnesota, the American Federation of Teachers, and the National Education Association and represents over 4500 staff members in about 70 schools and educational programs in Minneapolis.

MFT seeks an experienced Administrative Staff person to coordinate the operations of our office, oversee bookkeeping and HR duties, and database management.

Major Duties and Responsibilities

  • Work with chapter Presidents, Organizing Director and clerical employee to manage and run the day-to-day needs of an office of 10-12 full time employees.
  • Liaise with state and national unions, vendors and third-party contractors.
  • Basic bookkeeping including issuing checks, receiving payments, making bank deposits, and reconciling credit card receipts.
  • Work with accounting firm on audit assistance and other financial management tasks.
  • Assist officers and board on annual budget process, with support from accounting firm.
  • HR tasks including receiving and entering new employee and contractor paperwork.
  • Process and remit employee benefits such as health insurance, HSA, and 401k.
  • Run payroll system (ADP RUN) including tracking time off requests.
  • Manage insurance policies including business, liability, workers comp, and ERISA.
  • Maintain compliance with the Department of Labor, IRS, and MN Secretary of State.
  • Work with third-party IT company on office tech needs and basic troubleshooting.
  • Facilitate grant tracking and reporting including maintaining paperwork and files.
  • Collaborate with the state union to track and process new membership applications.
  • Oversee and manage internal member database and run rosters; some data entry.
  • Manage archives, office equipment, and supplies; maintain files.
  • Assist with member communications, website, and social media as needed.
  • Project management, event and action planning as needed.
  • Open and close the building as necessary.
  • Other duties as assigned.

Qualifications:

  • 5+ years doing administrative work in a fast-paced office environment.
  • Strong attention to detail and ability to follow through to get projects to completion.
  • Ability to juggle and prioritize conflicting demands.
  • Effective oral and written communication skills.
  • Ability to establish and maintain effective working relationships with members, staff and union leadership.
  • Experience with accounting software and database management.
  • Mastery of Microsoft Office and Google suite.

Preferred qualifications:

  • Familiarity with Minneapolis Public Schools systems.
  • Experience working with labor unions and/or nonprofits.
  • Experience with QuickBooks.
  • Experience using FileMaker Pro.

This is a full-time, hourly position with benefits. Full-time for this position is 4 or 5 days (25-35 hours) per week, Monday through Friday. This position is covered by a collective bargaining agreement with OPEIU Local 12 and will have an hourly wage of $26.91-$34.04 depending on experience.
