The Committee of Interns and Residents (CIR) is the largest house staff union in the United States. We are a local of the Service Employees International Union (SEIU), representing approximately 33,000 resident physicians who are dedicated to improving residency training and education, advancing patient care, and expanding healthcare access for our communities. CIR’s mission is to empower our nation’s interns, residents and fellows to fight for excellence for our patients. CIR is also a part of Doctors United, an alliance between CIR, Doctors Council and SEIU created to unionize physicians nationwide.
Job Summary
The Executive Assistant will provide critical support to the National Field Director in her oversight of the Doctors United program, including managing administrative processes, coordinating communications to staff, logistics and optimizing workflow. The ideal candidate is highly organized, detail-oriented, capable of managing multiple responsibilities and can be trusted to handle sensitive and confidential information in a fast-paced environment.
What You’ll Do
- Prepare and distribute confidential reports, presentations, and documentation regarding organizational strategy and staffing for meetings with Executive Committee members and senior management staff for both SEIU, CIR and Doctors Council.
- Maintain records, databases and files, ensuring accuracy, confidentiality and compliance with organizational policies.
- Manage the daily administrative operations of Doctors United, including scheduling meetings, maintaining calendars, and coordinating events.
- Coordinate travel arrangements, meeting logistics, and other operational tasks.
- Tracking expenditures, processing invoices and preparing reports for leadership meetings
- Participate in and take notes for management meetings regarding staffing, organizational strategy and policies, and matters related to collective bargaining, grievances and personnel.
- Ensure procedures and policies are up to date, clearly communicated and adhered to by staff.
- Support the director in managing campaigns and special projects.
- Provide leadership in organizing activities, fostering a collaborative and efficient work environment.
- Assist in onboarding new Doctors United staff by managing logistical aspects of hiring and training.
What Makes a Great Candidate
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Experience in administrative management in a union or non-profit setting.
- Strong organizational and time-management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
- Proficiency in Google Suite or Microsoft Office Suite and experience with project management and scheduling tools.
- Technological proficiency, particularly with data interpretation and tools.
- Experience with data management and familiarity with VAN or other databases.
- Excellent written and verbal communication skills.
- Strong attention to detail and problem solving abilities.
- Experience in budget management and financial reporting is preferred but not required.
- Strong interpersonal skills, with the ability to work collaboratively across departments.
- Ability to work with teams made up of people from diverse backgrounds and cultures.
- Experience with employer/labor relations and compliance
- Ability to work long hours.
- Must be fully vaccinated for Covid in accordance with CDC guidelines, subject to any laws of the state in which the applicant resides.
CIR Offers
This is a full-time, salaried, overtime-exempt position. The salary range for this position is $98,800 to $103,740.
