Office Manager

Job Title: Office Manager
Classification: Full-Time, Hourly Non-exempt
Reports to: Operations & Administrative Coordinator
Location: Los Angeles

Position Summary:
SEIU-UHW is seeking an experienced and skilled Office Manager that is well organized, and, able to manage a diverse set of secretarial and administrative functions, as well as ensure efficient office operations and facility management, often in a face-paced environment. Under general supervision, the Office Manager is expected to contribute to the growth, success, and priorities of the organization.

Essential Job Functions:

  • Answer/route/respond to calls, receive/take messages, greet visitors and provide general information
  • Receive and/or process incoming and outgoing mail, faxes, deliveries, packages, and mailings
  • Compose, edit, and format documents, files, and spreadsheets, and maintain as needed
  • Track and/or manage meetings: calendar(s), room setup, food orders and provide support
  • Manage all print, copy, and supply requests
  • Manage, maintain, and troubleshoot office and building operations
  • Manage and maintain department files and systems
  • Manage and provide Division, Department, Campaign and Organizational logistics support
  • Orient new employees with office procedures, access, alarm, workspace, and parking
  • Contribute to a supportive and productive work environment by taking initiative and bringing issues to the attention of appropriate staff member

Qualifications

  • At least five (5) years’ experience as an office manager
  • Demonstrate ability to type 50wpm (minimum)
  • Knowledge of Office 365 application: Word, Excel, Outlook, Teams
  • Excellent and professional communication and customer service skills with people from diverse backgrounds
  • Accurate proofreading and grammar skills
  • Highly accurate in attending to detail and follow-through
  • Experience handling multiple demands, planning, and prioritizing workflow to meet deadlines
  • Ability to work independently, take initiative, and be solution oriented
  • Ability to establish and maintain effective working relationships with staff, members, outside agencies and vendors
  • Ability to read and interpret documents, policy, and procedures manuals, and, able to execute and communicate them to others
  • Flexible attitude in adopting new systems and processes, and learn in a reasonable length of time
  • Commitment to social change and activism (knowledge of unions a plus)
  • Experience using a ticketing system, electronic fax and video conferencing, preferred
  • Bilingual English/Spanish strongly preferred

Qualified candidates will be subject to an aptitude test.

Physical Demands

  • Able to sit for up to two (2) hours at a time
  • Able to stand for up to two (2) hours at a time
  • Able to bend, stoop, lift and move at least ten (10) pounds

Compensation
Starting hourly rate is $34.92 and a generous benefit package.
