Job Title: Executive Assistant
Location: CA, any AFSCME 3299 office.
Job Classification: Full-Time , Non-Union, Non-Exempt
Salary: $80,304.16 – $107,613.77 (Annual Salary)
Purpose:
We are looking for an Executive Assistant to directly support the President, Executive Director or other Senior Directors and Officers as assigned by the Executive Director.
Your main duties will include ensuring scheduling, communications, and executive-level administrative and special project support to the President and ED. While reporting directly to the Executive Director, you will ultimately be responsible for high-level and confidential support for the top leadership of the organization.
The ideal candidate will have experience in supporting executives in a large organization, demonstrate professionalism, exercise independent judgment, and efficiently manage multiple tasks. The ability to maintain confidentiality is an essential part of this role.
Primary Responsibilities

- Manage complex calendars, including scheduling meetings and travel
- Read, research and route inbox correspondences, and support executive communications
- Collaboratively develop and prepare materials, including confidential financial, organizational, and personnel materials
- Track on commitments of the President & Executive Director seeing them through to completion
- Serve as a point person for questions and requests of the President & Executive Director.
- Maintain confidentiality of sensitive or confidential information
- Ensure successful monthly Officer and Executive Board Meetings, including coordinating with appropriate administrative and Senior level staff.
- Process expenses and reimbursements
- Other special project coordination as assigned
A successful Executive Assistant will be self-motivated, detail-oriented, resourceful and coachable. You will thrive working in a fast-paced, high-impact environment. With the highest degree of professionalism and judgment, you must possess the ability to complete high volumes of tasks with minimal guidance or supervision, while prioritizing deadline sensitivity.
Direction and Decision Making
This position reports to the Executive Director. Direct supervision will be from the Executive Director; direction may come from the President, Executive Director or other senior staff or officers as assigned.
Education and Experience
- Proven work experience as a high-level or executive assistant or relevant work experience
- Computer literacy (MS Office applications, in particular)
- Excellent organizational skills, with an ability to prioritize important projects
- Strong phone, email, and in-person communication skills
- 5 years of related admin experience.
- Demonstrated ability to work with top-level executives discreetly and handle sensitive, confidential matters with the utmost professionalism.
- Experience working in a union or social justice organization is preferred
Additional Requirements:
- Extended day and occasional overnight travel.
- Willingness to work long and irregular hours, including nights and weekends.
- There will be periodic after-hour work, pay for the time worked, and possibly pay for on-call time.
- Must possess a valid California driver's license, auto insurance with business coverage, and an automobile for business use.
Physical Requirements (as required by ADA)
- Work is performed in a variety of employment settings. Driving, travel, temporary assignments, irregular and extended work hours are required.
- Must be able to lift 10lbs or less
Salary
Salary is dependent on experience with a comprehensive benefits package including: fully paid Kaiser medical, dental, vision insurance for self and family, business allowance, car insurance reimbursement, and educational reimbursement.
