Who We Are
The Housestaff Association of the University of Colorado Hospitals (HSA) was founded in 1969 and represents nearly 1,300 resident and fellow physicians (housestaff) in the University of Colorado Graduate Medical Education program who provide care at multiple hospitals in the Denver area. The mission of HSA is to provide a voice advocating for the work environment for residents, medical providers, and a supportive inclusive environment to provide quality care to all patients. HSA is governed by an Executive Committee, composed of annually elected officers and representatives from the 100+ training programs at CU.
Position Summary
HSA is seeking a full-time Coordinator with high-level administrative skills. The ideal candidate is committed to our mission, has financial acumen, is experienced in managing an office, and can work independently with little supervision.
Responsibilities:
- Manage and coordinate HSA’s calendar and all annual events, meetings, and activities
- Provide executive-level administrative support to HSA’s Co-Presidents and Executive Committee
- Oversee organizational finances, including supporting the development of the annual budget, providing regular financial reports to the Executive Committee, and ensuring compliance with legal requirements
- Manage accounts payable including monitoring payroll and services in Gusto
- Establish and monitor procedures for record keeping
- Ensure security, integrity, and confidentiality of data
- Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner
- Manage all regulatory and financial reporting and compliance including filing federal, state, and local business reports and taxes
- Coordinate and provide support for membership recruitment and engagement including coordinating resident/fellow membership for university and hospital committees
- Maintain meeting minutes, administration of surveys, confidential data reporting, and record maintenance
- Provide administrative and data support for organizing activities, including managing and developing systems to track and provide reports on membership and member engagement
- Experience in the medical education environment or unions is ideal, but not required
The person hired for this job should bring these qualifications:
- Three years or more of office management or executive administrative experience
- Demonstrated experience in developing and overseeing organizational budgets and finances
- Willingness to work independently with minimal supervision and comfort with setting and meeting important deadlines to reach organizational goals
- Strong planning, time management, problem solving, and detail orientation skills
- Ability to work a flexible schedule, including some nights, weekends, and early mornings
- Strong commitment to social justice and the labor movement
- Strong written and verbal communication skills
- Advanced skills in Google Sheets and Excel
- Proficient with social media platforms, Word, Zoom, Google Suite, email, text messaging, Canva, and Gusto or the capacity and willingness to learn
- Proof of current COVID vaccination is a condition of employment

Salary & Benefits
HSA provides a competitive salary ranging between $60,000-$70,000; paid vacation, family and sick leave; reimbursement for health insurance coverage; and retirement contribution.
